To improve course completion rates and ensure compliance, Motimate now allows editors to schedule automated reminders for Moti deadlines. This feature ensures that users are prompted to finish their training before a deadline or a recurring cycle expires đź””
1. Key Functionalities
Opt-in Configuration:
Reminders are not automatic; they must be enabled at the Action level (per assignment).
Flexible Delivery:
You can choose to send reminders via Push Notification, Email, or both.
Support for All Actions:
This feature works across all four action types, including individual and group deadlines, as well as recurring assignments.
Localized Templates:
Notifications use standard, localized templates based on the user’s preferred language.
2. How to Configure Reminders
You can set up reminders within the Action create/edit popup or via the Reminders tab.
Select the Interval:
Choose when the reminder should trigger (e.g., 7 days before the deadline).
Note: Reminders are calculated precisely (e.g., "7 days" = 168 hours before the deadline).
Set the Limit:
You can configure a maximum of 2 deadline reminders per Action.
Choose the Channel:
Toggle on Push, Email, or both.
Review Warnings:
If a Moti already has "Standard Reminders" set, you will see a non-blocking warning. You can choose to keep both, but be mindful of "notification fatigue" for your users.
3. Delivery Logic
Who receives them?
Reminders are sent to all eligible users who are at 0–99% progress (anyone who hasn't completed the current cycle).
Read more about when Push Notifications are sent to your users here.
Target Audience:
Reminders will be sent to users who have never logged in, but will not be sent to inactive or deactivated users.
Timing:
Notifications are sent at the organization's configured reminder hour in your specific timezone. They will trigger even on weekends or holidays.
Priority:
If a user is assigned to multiple Actions for the same Moti, they will only receive a reminder for the one with the highest priority/earliest deadline to avoid spam.
4. Editing & Managing Active Reminders
Live Updates:
You can edit or remove reminder configurations even after an Action is active. The new configuration will immediately replace the old one.
Late Assignments:
If a user is assigned to an Action after a reminder threshold has already passed (e.g., they are assigned 2 days before a 7-day reminder was set to go off), they will only receive the upcoming reminders that haven't passed yet.
Deletion:
Deleting an Action automatically deletes all associated reminder configurations.
5. Notification Content
The system automatically generates the message to include:
The Moti title.
The exact deadline date and time.
A direct link for the user to jump straight into the training.
Admin Pro-Tip: For recurring Motis, the system handles the heavy lifting—reminders will automatically reset and send for every new cycle/iteration without further manual input.
