Monitoring user progress is key to ensuring everyone in your organization is up-to-date and well-informed on everything they need to know. The Total Score offers users a clear view of their progress in their learning process. But since some content is more important than others, Motimate allows you the flexibility to choose which learnings contribute to this score, and which learnings are considered more optional 💯📊
When you assign learnings to your users, you select which Playlist the learning should appear in, and these vary in priority levels, such as "Mandatory", "Good to know" and "Recommended" to indicate to users which learnings they should focus on first.
Since every organization might be using these playlists differently, we've given you the freedom to choose which playlists you want your user's completion scores to be based on, and which ones that should be left out. This way, you can be certain that a user who's got a completion score of 100% has successfully completed all the assigned learning that's expected of them, even if you have also assigned them some additional learning which is more optional.
To configure this for your MotiSpace, an Organization Administrator (Org. Admin) can go to:
MotiSpace Settings --> Playlists --> Settings
To opt a playlist in or out of the Total Score, simply click Change for the playlist in question, and then toggle the switch as seen below before clicking Save:
What are the consequences of excluding playlists?
The playlists are essential to how Motimate works, and excluding a playlist might also affect other parts of your account. Here we will bring awareness to potential consequences you should know about before you start excluding playlists.
When courses are assigned to both an excluded and an included playlist:
If a course is assigned both to an excluded playlist and an included playlist, it will always appear in your users' account under the playlist with the highest priority (ie. "Mandatory") regardless of whether it is excluded or not. The difference to take note of here is that the course progress and completion data for the course will only appear under the included playlist.
In order to help you ensure this is handled the way you prefer, we recommend the following:
- If you wish to ensure that courses assigned to multiple playlists appear in the same playlist as where the user's progress in the course will reflect in the Total Score/Leaderboard, ensure that the playlist with the higher priority is included in Total Score tracking.
- Alternatively, if the highest-priority playlist is not intended to be part of the Total Score/Leaderboard, consider removing the course assignment from that highest-priority playlist if it isn't essential for the course to appear under that playlist.
- Otherwise, be aware that your users will see the course displayed in a playlist that is excluded from their Total Score and Leaderboard calculations, and be prepared to explain this if your users bring this up.
Other product areas that will be affected:
- The Total Scores are used in the Group Admin Report and the Leaderboards, meaning that these features also will be affected by any changes made with this setting.
- Learning that is assigned (only) to an excluded playlist will not appear in the Group Admin Report.
- Reports generated in Generate Reports will be unaffected by this setting, and will continue to work as before.
- Push notifications for courses are sent for all courses when enabled regardless of these settings (except for the Discover playlist which never sends notifications).
- The Discover playlist will never be involved in the Total Score.
