Inviting your team members is the first step toward building a successful learning culture in your organization. This guide walks you through the simple process of sending out invitations so your users can set up their accounts and start their learning journey 🌟
Before You Begin
Admin Access:
You must have Organization Administrator (Org Admin) rights to manage users and send invitations.User Accounts:
Ensure that your users have already been created in the system (either manually, via CSV upload, or through an integration).Invitation / Reminder text customized
Ensure you have already followed this guide in order to review and customize your invitation and reminder emails/SMS.
Please note:
If an invitation is sent to a user who has already set up their account, their password will be automatically reset, and the new password will be included in the new invitation. This does not apply if you have an active SSO integration.
Step-by-Step: Sending Invitations

Navigate to MotiSpace Settings
Log in to your Motimate account on the web. Click the cogwheel icon ⚙️ in the top right-hand corner of the page and select MotiSpace Settings.

Open the Users Tab
On the left-hand sidebar, click on Users. This will display a full list of all users currently registered in your MotiSpace.

Select the Users
You can issue invitations to users by following one of the methods described below:

To invite specific users:
Check the boxes on the left side of the names of the individuals you wish to invite from the list of users.

To automatically select any user who has not yet been sent an invitation:
Go to the Filters to the top right of the users list, and tick the box "Never invited" and apply the filter, before you select all the users who remain in the users list.

To invite everyone:
Click the "Select All" checkbox at the very top of the list.
Note: Avoid selecting your own account to prevent resetting your own password.

To invite specific users:

Send Invitations
Once your users are selected, go to the Batch Actions dropdown menu at the top of the user list.
Select Send Invitations from the dropdown. A confirmation box will appear—click Confirm to finalize. Your users will receive their invitation via email (and/or SMS, depending on your setup) within a few minutes.
Following Up: Sending Reminders
If some users haven't logged in after a few days, you can easily send them a nudge:
In the Users tab, use the Filter tool.
Select Never Logged In and click Apply Filter.
Select the resulting list of users.
Go to Batch Actions and select Send Invitation Reminders.

Customize Your Message:
You can tailor the invitation text to match your organization's tone. Go to MotiSpace Settings > Messages > Email/SMS Invites to edit the default templates.Test First:
Before a large rollout, we recommend creating a test user (using your personal email) to see exactly what the invitation looks like to your team.SSO Users:
If your organization uses Single Sign-On (SSO), users usually don't need a traditional invite from Motimate; they can log in directly using their company credentials.
